Dear Coaches,

We are excited to extend an invitation for your teams to participate in the 20th Annual Outback Steakhouse/Azalea Track & Field Invitational on Saturday, March 10, 2012 at Summerville High School.

We hope that you will be attending our meet again this year. Once again, Outback Steakhouse will be providing a luncheon for all coaches and meet officials.

Your entry fee is due by Friday, March 2, 2012 to reserve your place at the Outback. On-line entries must be received by Tuesday, March 6, 2012. Failure to send in an entry fee will result in your entries being deleted from the meet.

The entry fee is $85.00 for boys or girls teams, $150.00 for both boys and girls teams, or $15.00 per individual. Make checks payable to “Summerville High School.” Individual entries will be accepted if room is available. All entry fees along with the Entry Notification Form located at the bottom of this page should be mailed to Summerville High School, C/O Steve Wilson at the above address.

Host: The Summerville High School Track & Field Program

Location: Summerville High School, Summerville, South Carolina

Directions: From I-95 and I-77, take I-26 East toward Charleston to Exit 199-A Summerville (Route 17-A). Follow Rt. 17-A for
approximately 4-5 miles. Summerville High School will be on the left. The track is located behind the school. Buses should park in the school parking lot. Cars can park along Green Wave Blvd. next to the track or in the school lot. Those parking along Green Wave Blvd. should look for the sign for the Summerville H.S. Track and turn left onto Green Wave Blvd. before you get to the school.

Sanction: The meet is sanctioned by the National Federation of State High School Associations and the S.C. High School League.

Entry Fees: An entry fee of $85.00 per team ($150.00 for boys and girls teams) or $15.00 per individual athlete will be charged. Your entry fee and entry notification must be received by March 2, 2012 to reserve your place at the Outback and before you can enter your athletes. All team entries must be received on-line at www.directathletics.com by March 6, 2012 at 11:00 pm. NO REFUNDS will be made after March 7, 2012. Please see the attached instructions regarding on-line entries. Make checks payable to “Summerville High School” and send along with the Entry Notification Form on the cover letter to Steve Wilson at the address listed below.

Entry Limits: Each team is permitted to enter two (2) athletes per individual event and one (1) relay team per relay event.

Check-In: Team packets will be available at the scoring tower by 8:00 am on the day of the meet. Substitutions may be made with the Clerk of Course or the Field Event Judge, as long as no one violates the participation rule, which limits athletes to four events.

Equipment: The wearing of spikes longer than 1/4” will result in disqualification from that event. Starting blocks and throwing implements will be provided. Only walkman type radios with headphones are permitted in the facility.

Rules: All National Federation rules will be strictly enforced. A contestant shall not compete in more than four events. Rule 4-3 concerning uniforms will be enforced. No jewelry, hats or headbands will be allowed during competition. The top 8 places in each event will be scored.

Awards: Trophies will be awarded to the top two teams in both the Boys and Girls Divisions. Medals will be awarded to the top three
places in each event. Plaques will also be awarded to the Most Outstanding Track Athlete and Field Athlete in both divisions.

Admission An admission fee of $5.00 will be charged for spectators ($3.00 after 2pm).

T-shirts: High quality, multi-colored commemorative T-shirts will be on sale for $15. Please inform your athletes ahead of time. We
are relying on this to help pay for the expenses of the meet.

Concessions: A variety of items will be available all day at our concession stand.

Coaches A complimentary luncheon for coaches & meet officials will be provided by Outback Steakhouse. Tickets will be distributed
Luncheon: with the team packets. This luncheon is for coaches & meet officials only so please do not give tickets to parents or athletes.

Online Entry Instructions

Entries for the Outback Steakhouse/Azalea Invitational must be submitted on-line with DirectAthletics. Please follow the directions below to submit your entries.

**SAVE YOUR USERNAME & PASSWORD—YOU WILL USE THE SAME ACCOUNT FOR ALL FUTURE DIRECTATHLETICS MEETS**


IMPORTANT NOTICE FOR SCHOOLS WHO HAVE ALREADY USED DIRECTATHLETICS

Some of you have already used DirectAthletics for online entries last year or at other meets. If you already have an athlete on your roster, you do not need to add that athlete again.

• Review your existing roster carefully. To view your roster, login and click TEAM.
• Deactivate all athletes no longer on your active roster. To deactivate an athlete, click on the athlete’s name. Then click on the red “Deactivate” button. Repeat for each athlete you want to remove from your active roster.
• Edit school year for existing athletes. Please review your entire roster to make sure that the school year is accurate for each existing athlete. If the school year is incorrect, click on that athlete’s name, then click the dark blue “Edit” button. Change the school year in the dropdown and Submit.
• Check spelling. You can change the spelling of an existing athlete’s name by following the instructions in the previous step. Once at the Edit Athlete page, make the appropriate changes to the First or Last Name and Submit.
• Add only new athletes not already on your roster (Follow Steps 4-6 below). Do NOT create duplicates on your roster. If you have any duplicate names on your roster, delete one of the duplicates


SETTING UP YOUR ROSTER
1) Go to http://www.directathletics.com/
2) In the login box, enter your username and password and click Login. (Remember that your password is case-sensitive. Use capital letters
where appropriate). If prompted, enter your contact information.
3) Before submitting entries, you must setup your rosters. NOTE: If you are the coach of Men AND Women, you will see a Team dropdown on
the blue navigation bar at the top middle of your screen that contains your team name and gender (i.e. "Reston (M)"). The "M" means that
you are controlling the MEN'S team-if you switch to the "(W)" you are controlling the WOMEN'S team. You may switch between teams at
anytime to edit your rosters or submit entries for each of your teams.
4) To setup your MEN'S roster, make sure that your team is set to "(M)" and click TEAM at the top of your screen to right of HOME. Then
click the green "Add Athlete" link at the top of your roster screen.
5) You will be prompted to enter an approximate number of the athletes you wish to enter. Enter a number and submit.
6) You will be prompted to enter the first name, last name and graduation year of each athlete (email is optional). Fill in the form accurately.
DO NOT use all capitals and double-check your spelling. When you are satisfied with the form, click Submit. NOTE: You can repeat this
process at anytime to add additional athletes.
7) To view your roster, click the "Roster" link in TEAM on the left. When you are ready to setup your WOMEN'S roster, switch to the WOMEN'S team ("W") in the Team dropdown as described in Step 3. Repeat Steps 4-6.

SUBMITTING ENTRIES
1) Within your account, click on the "HOME" link at the top left of your screen. Or simply login and you will automatically be in the HOME module.
2) In HOME, under "Upcoming Meets", you will see all meets available for registration. You may also click SCHEDULE at the top of your screen to see a full list of meets available for registration. If registration is open, click the green "Register" button that appears next to the meet name.
3) You will see a list of all events available for online entries. You will submit your entries one event at a time.
4) To register for an individual event, click the green "Register" button next to the desired event.
a) Your active roster will appear in the LEFT BOX. Click on and highlight the athlete you wish to register.
b) Type in the seed time/mark for the athlete in the middle SEED BOX.
c) Click the "Register ==>" button. The athlete and seedtime will move to the RIGHT BOX for review.
d) Repeat steps (a)-(c) for each athlete.
e) Review your entries in the RIGHT box.
f) If you have made an error or would like to delete an athlete in the RIGHT BOX, click on and highlight the athlete in the RIGHT BOX and click "<== Scratch/De-Register".
(g) When you are satisfied with your entries as displayed in the RIGHT BOX, click the "Submit" button. YOUR ENTRIES ARE NOT SUBMITTED UNTIL YOU CLICK "SUBMIT".
* After clicking Submit, you will see your entries and seed times/marks for each event on your registration event list. Repeat Step 4 (a)-(g) for each individual event.
5) For Relay events, the process is exactly the same except that you will see Squads A-D in the LEFT BOX instead of athlete names. Make sure that you submit your "A" Squad if you are entering only one squad. When you submit your relays squad and entry time, you will be prompted to enter the individual members of the relay. Add up to 4 runners plus 4 alternates to the RIGHT box and click “Submit”.
6) You can edit your entries at anytime before the entry deadline by clicking the blue "Edit" button next to each event on your registration event list. Make necessary changes and Re-submit. Your previous entries will be over-written.

You can receive email confirmation of your entries by clicking the link at the top of the Meet Registration page. Emails will be sent to the email address in your account profile. If you have a Men and Women’s team, you must request a separate email confirmation for each team.

• Track Events: Check in for track events will be behind the starting line for the 100 Meter Dash and High Hurdles. Check in for all other running events will be in the roped off area in the middle of the track. The track events will not run ahead of schedule in the morning, but if we get ahead of schedule after the lunch break, the meet will NOT be slowed down!

• Field Events: Check in for field events at the event site at least 15 minutes before the scheduled event time or by the time the 3rd call has been made. The following events will begin at the indicated starting heights: Boys High Jump (5’ 8”), Girls High Jump (4’ 6”), Boys Pole Vault (11’ 0”), and Girls Pole Vault (8’ 0”). The top 9 athletes in each event except the High Jump and Pole Vault will make the finals. Finals will take place immediately following the preliminary flights. Do not rely on announcements being made for the finals.
