Region 5-4A Championships 2019

Aiken, SC
Hosted by Aiken

Meet Information

Hello Region Track Coaches,
Listed below you will find important information regarding our upcoming Region 5-4A Track Meet to be held

at Aiken High School on Wednesday, April 24th (Rain out date of April 25th).
 Please

forward this information to all coaches on your staff!
 Additionally,

please
 carefully

read and review
 the information

in this email.
Our Region Meet will begin

at 1:00 pm. We will have a coaches meeting promptly at 12:30 pm for
 all coaches.

Aiken, Airport, Midland Valley, North Augusta, South Aiken, and

Brookland Cayce will comprise the teams in our Region. Each team will

receive 4 entries per event. Each athlete is limited to a maximum of 4

events. The meet is currently listed on Milesplit,

entries are set to close at 11PM on Monday, April 22nd. Ensure all

first and last names are spelled correctly and that the correct

graduation year is attached to each athlete. Additionally, it may be

prudent to select alternates for your relay teams. Only

those athletes/alternates selected for your relay teams for the Region

Meet may participate in the State series as a member of your relay

teams.
 Remember,

your entries for the Region Meet are your entries for the entire State

series (Region, State Qualifier, State)! There are no 1 for 1

substitutions.

We will hold trials/prelims in the 100m dash and perhaps the 100/110m hurdles (depending on the number

of hurdle entries). All other races will be sections vs times.

The top

5 athletes/relays

in each event will advance to the AAAA State Qualifier Meet to be held

at Columbia

International University on May 4th. Our Region will not have to

operate anything at the qualifier as CIU will be taking care of all

events.

Scoring

for the region

meet will go 10-8-6-5-4-3-2-1 for individual events, while relay

scoring will go 10-8-6-4-2 (scoring for a championship meet). Any tie

for 5th place must be broken the day of the Region Meet. The top

boy/girl individual finishers/relays in each event are considered

All Region. Head Coaches will vote for Region MVPs on the infield at

the conclusion of the meet. Per my AD, points awarded via relays will be

split amongst the members of each relay team. Once the MVPs of the meet

have been selected, all athletes/spectators

are expected to respect the decision arrived upon by the coaches. Head

coaches whose teams win the region meet will be considered Region Coach

of the Year.

Field

Events: Please be sure the same

person calls fouls/reads tape, and that the same person marks the

distance for each flight. Rakers and tape pullers may rotate duties. We

will have prelim trials (3 throws/jumps to all competitors) and the top 9

in each event will qualify for the finals (an

additional 3 throws/jumps for finalist). Competitors will be credited

with their best performance, regardless of whether it occurs in the

prelims or the finals. Any competitor who ties for the 9th spot in the

prelims will auto advance to the finals, therefore

we could see a ten competitor final in the event of a tie for 9th in

the prelims.

We will review the major rules at our coaches meeting, however

the two big rules are uniforms and entries. Uniforms:
Slight differences in design of uniform do not negatively impact the identification of a relay team. The expectation

of this rule is that all relay team members can be clearly identified as representing the same school.

Entries:

Once your athlete is entered in an individual event, he/she cannot

scratch that event in favor of another. Once you enter an athlete in

an individual event, your athlete is "locked in" regardless of whether

they actually compete or not.  Additionally, there are no one for one

substitutions. A few examples of the participation

rule:

Athlete A is entered into four individual events. Ruling: Athlete

A is ineligible for any relay for the
 entire State

series, even if he/she is listed as an alternate. They have exhausted

their eligibility being entered/participating in the four individual

events, regardless of whether they qualify out or not

Athlete

B is entered into three individual events and two relays.

Ruling: Athlete B is eligible for one relay, however once he/she

competes in that relay they are ineligible for the other relay for the
 entirety of

the State series, regardless if they qualify out of Region in their individual events or not.

Athlete C is entered into two individual events, and two relays.

Ruling: Athlete C can compete in all four

Being

listed as one of the six members of a relay team does not count as an

event unless the competitor actually participates. If

your athlete is already listed in 4 individual events at Region, do not

list them as a relay alternate as they are ineligible at that point for

any other event.
I

wanted to provide you with as detailed an explanation as possible on

the participation rule, as I know that will affect how you place

your best athletes. Please let me know if you have any questions, as I

understand it can be confusing

For all relays,

I need your athletes names (alternates too) listed on an index card

submitted to myself at our coaches meeting. Class AAAA is requiring this

to ensure the participation rule isn't broken. Please submit six

separate note cards, one for each relay (3 boys relays/3

girls relays). List the relay at the top of each card. I will check

each relay in at the starting line and highlight those who participate

on your index card. Your relay athletes should still check in at the

clerk. Any athlete who has participated in four

individual events at the Region Meet that is listed as an alternate on a

relay will be deleted from the system prior to Qualifier. Athletes that

violate the participation rule will be disqualified from all events.

If a rules question occurs, please pause the event until we reach a ruling. We want to arrive at the correct

ruling, not necessarily the quickest ruling.

I need the attached PDF signed by each head coach for each team (boys and girls on separate copies). Please

review these rules with your teams and return the forms to me at the coaches meeting.

Please reply to this email to inform me you have received this information. Let me know if you have any

questions/concerns or feel that anything listed above should be reviewed.

Thanks and I hope everyone is doing well. Best of luck to all in your meets this week.
